Position Summary
Parish Administrator
Part-time (12-15 hours per week), reports to Rector
The Parish Administrator is the primary manager of the church office and executor of the administrative needs of the parish. As such, the Parish Administrator’s chief responsibilities are to support the Rector and lay leaders of the parish in their mission and ministries primarily through routine administrative duties and support tasks. They are required to maintain high levels of confidentiality and discretion, and, as the first point of contact for visitors, parishioners, and vendors, it is critical for them to be both personable and welcoming as well as professional in their interactions with others. This position requires one to pay close attention to details, be flexible adjusting priorities as needed, and take a proactive, self-directed approach to managing tasks.
Duties and Responsibilities
Provide administrative functions including but not limited to the following:
Church Administration
Maintain parish records per parish’s record retention practices and policies
Manage Zoom account and schedule meetings for parish committees
Manage Church calendar
Communications
Process and respond to communications received by the church office (i.e. mail, email, phone/voicemail, etc.)
Create and publish weekly e-newsletter, informational brochures, and other promotional materials as requested
Update and maintain website with Communications Committee
Assist with occasional mailings
Support of Worship
Format, print, and publish weekly worship bulletins as well as bulletins for special occasions (i.e. funerals, weddings, holidays, etc.)
Provide administrative support for special worship events and services (i.e. funerals, baptisms, weddings, etc.)
Report weekly music usage with music licensing company
Building Management/Operations
Liaise with and support one-time and ongoing church rentals
Order office, kitchen, and maintenance supplies
Financial/Treasurer Support
Process invoices and payments that come to the church office and maintain appropriate financial records
Process reimbursements for church staff and parishioners
Provide administrative assistance to church Treasurer and Bookkeeper as well as the Finance and Stewardship Committees
Minimum Position Requirements
College degree and/or Associate Business degree and/or three years of work experience as an office manager in a comparable office situation is preferred.
Three years experience in Quickbooks.
Excellent written and verbal communication skills.
Strong decision-making abilities coupled with the ability to discern when a decision needs to be passed to the Rector or another appropriate member of staff or Vestry.
Well-developed computer skills, including producing online and print publications.
Adept at working with and using various forms of technology.
Strong interpersonal skills and emotional intelligence
Ability to work both collaboratively and independently
A working knowledge of Microsoft Office, Mailchimp, Quickbooks, databases, among other programs is helpful.
Physical requirements – this position does occasionally require picking up and moving heavy boxes of paper or other materials.
Additional Job Information
Hourly Rate: $18.00 - $20.00 per hour depending on experience.
Office located in an ADA Accessible building.
Admin required to work in-person during regular business hours. Specific dates and times to be negotiated with the supervisor.
